1. Definitions & Scope
1.1 "The Club" means Laleham Camping Club, its owners, managers, and authorised staff.
1.2 "Guest" or "You" means the lead booker and all persons named on or associated with the booking.
1.3 "The Site" means all land, facilities, and infrastructure at Laleham Camping Club, including pitches, shower blocks, toilets, car parks, and communcal areas.
1.4 These Terms & Conditions to all bookings and visits to the Site, whether made online, by telephone, or in person. By completing a booking you accept these terms in full on behalf of all members of your party.
1.5 The Club reserves the right to amend these terms at any time. The version in force at the date of your arrival shall apply.
2. Booking & Confirmation
2.1 All bookings must be made by a person aged 18 or over, who shall be the lead booker and take responsibility for all members of the party.
2.2 A booking is only confirmed upon receipt of the required deposit or full payment and the issue of a written booking confirmation by the Club.
2.3 The number of persons stated at the time of booking must not be exceeded. Any increase in party size must be notified to the Clubin advance and is subject to approval and additional charges.
2.4 The Club reserves the right to decline, cancel, or refuse any booking at its sole discretion, including where it is satisfied that a Guest has previously breached these terms.
2.5 Bookings are non-transferable. You may not sell, gift, or transfer your booking to another party with the Club's prior written consent.
2.6 A pitch is allocated for your exclusive use for the booked period only. Early occupation or extensions must be agreed and paid for in advance.
3. Payment & Pricing
3.1 A deposit of 20% of the total booking value is required at the time of booking to secure your pitch. This is only refundable by way of campsite credit.
3.2 The remaining balance must be paid in full upon your arrival date. Failure to pay will result in automatic cancellation of the booking without refund of the deposit.
3.3 All prices are quoted in GBP and included VAT where applicable. Prices are correct at the time of booking but may be subject to change for future seasons.
3.4 The Club accepts payment by debit card, credit card, bank transfer, and cash.
3.5 A refundable damage deposit of £50 per booking may be required and will be returned within 7 days of departure, provided no damage or additional cleaning costs have been incurred.
3.6 Discounts, promotional rates, and member rates are available only where relevant qualifiying criteria are met and cannot be applied retrospectively.
4. Cancellation & Refunds
We strongly recommend taking out comprehensive travel insurance to cover cancellation costs, as the Club is unable to make exceptions outside the schedule below.
4.1 Cancellation must be notified in writing to lalehamcampingclub@gmail.com. Verbal cancellations will not be accepted.
4.2 Cancellations received more than 56 days before arrival: full balance refunded; deposit forfeited.
4.3 Cancellations recieved 29-56 days before arrival: 50% of the total booking value refunded.
4.4 Cancellations received 28 days or fewer before arrival: no refund.
4.5 No refunds will be given for early departures, unused nights, or late arrivals due to adverse weather, traffic, or personal circumstances.
4.6 In the event that the Club is required to cancel a booking for reasons beyond its control (including but not limited to flodding, fire, or government restriction), Guests will be offered a credit note valued at the remaining number of nights of the booking, valid for 12 months. Monetary refunds in such cases are at the Club's discretion.
4.7 The Club reserves the right to cancel a booking immediately without refund if a Guest materially breaches these Terms & Conditions.
5. Arrival & Departure
5.1 Check-in is from 14:00 afternoon until 8:00 pm on the date of arrival. Early arrival may be available subject to prior agreement and an additional fee.
5.2 All Guests must be report to the site reception upon arrival to check in and produce their booking confirmation.
5.3 Check-out must be completed no later than 11:00 am on the date of departure. Late checkout is subject to availability and an hourly surcharge.
5.4 The pitch must be left clean, tidy, and free from all litter, pegs, guy ropes, and personal belongins by checkout time. failure to do so may resilt in a deduction from the damage deposit.
5.5 Arrivals after 8:00 pm must be pre-arranged with the Club. Late arrivals are to proceed quietly to their pre-assigned pitch and must not disturb other campers.
6. Pitch Rules & Equipment
6.1 Each pitch is allocated to accomodate the specific unit type booked (tent, campervan, motorhome, or caravan). You must use only the pitch type booked.
6.2 Pitches must not be sub-let or shared with persons not include in the original booking.
6.3 All guy ropes, pegs, and awning poles must be kepy withing your allocated pitch boundary and must not encroach on neighbouring pitches or pathways.
6.4 Electric hook-up (EHU) connections must be made using only the Club's approved bollards and appropriate-rated cables. Daisy chaining ofextension leads in prohibited.
6.5 The use of generators is strictly prohibited.
6.6 Guests must not erect windbreaks, privacy screens, or additional structes that obstruct fire escape routes or site pathways.
6.7 No gazebos, large event canopies, or structures exceeding 4m x 4m are permitted without prior approval from the Club.
7. Conduct & Noise
Laleham Camping Club is a family-friendly site. All guests are expected to behave with courtesy and consideration for others at all times.
7.1 Quiet hours are strictly observed between 23:00 pm and 7:00 am. No loud music, shouting, or excessive noise is permitted during these hours.
7.2 The use of amplified music, sound systems or loudspeakers is prohibited at all times unless prior written approval has been granted by the Club.
7.3 Behaviour that is abusive, threatening, or intimidating towards staff or other Guests will result in immediate expulsion from the site without refund.
7.4 The consumption of alcohol is permitted on your own pitch but must be done responsibly. Public drunkenness is not tolerated and may result in removal from the site.
7.5 The use , possesion, or supply of illegal substances on the site is strictly prohibited and will be reported to the appropriate authorities.
7.6 Commercial activity, soliciting, or advertising is not permitted on the site without prior written consent from the Club.
8. Children & Supervision
8.1 Children under the age of 16 must be supervised by a responsible adult at all times on the site.
8.2 Children must not be left unattended in tents, caravans, campervans, or motorhomes during the night.
8.3 Cycling, scootering, and ball games are permitted in designated areas only and must cease during quiet hours.
8.4 Children under 12 must not use the shower or toilet facilities unaccompanied after dark.
8.5 Lead bookers are responsible for the behaviour of all minors in their party and may be held liable for any damage or disturbance caused.
9. Pets
Must declare on booking9.1 Well-behaved domestic pets are welcome at the Club's discrection. All pets must be declared at the time of booking. Undeclared pets may result in a surcharge or refusal of entry.
9.2 A maximum of two pets per pitch is permitted. Exotic animals, farm animals, and pets on the Dangerous Dogs Act 1991 list are not allowed on site.
9.3 All dogs must be kept on a lead of no more than 2 metres at all times within the site boundary.
9.4 Pet waste must be collected immediately and disposed of in the designated pet waste bins. Failure to do so will result in a fixed penalty charge of £25.
9.5 Pets must not be left unattended on a pitch. Excessive barking or aggressive behaviour will result in the pet and its owner being required to leave the site.
9.6 Pets are not permitted in communal facilities including shower blocks, toilet buildings, or reception area.
9.7 All pets must be up to date with vaccinations, flea, and worm treatments. The Club reserves the right to ask for evidence of this.
10. Vehicles & Parking
10.1 Each booking includes parking for one vehicle in our car park free of charge. Additional vehicles may incur a nightly fee.
10.2 The site speed limit is 5 mph at all times. All drivers must take care around pedestrians, cyclists, and children.
10.3 Vehicles must be moved to the car park immediately after off-loading and setting up camping equipment, and no vehicles non-camping specific vehicles are allowed between 8:00 pm and 7:00 am, except in an emergency.
10.4 Taxis, food delivery vehicles, and visitor vehicles must remain outside of the site and not to drive onto the pitches.
10.5 All vehicles are parked at the owner's risk. The Club accepts no responsibility for theft, damage, or loss to vehicles or their contents.
10.6 Motorcycles must be pushed, not ridden, within the site boundary.
11. Fires & BBQs
Open fires on the ground are prohibited. Violations are treated aas a serious breach of these terms and may result in immediate removal from the site.
11.1 Charcoal and gas BBQs are permitted provided they are raised at least 30cm off the ground oon a dedicated stand. Disposable BBQs must be placed in a purpose-built stand and never directly on the grass.
11.2 Campfires are only permitted in firepits, and must only use kiln dried wood as kindling.
11.3 BBQs and fires must be fully extinguished before Guests retire for the night or leave the pitch unattended.
11.4 The collection of burning wood, foliage or any natural material from within or outside the site is prohibited.
11.5 Fireworks, Chinese lanterns, and sky lantern are strickly prohibited on and around the site.
11.6 Fire extinguishers are located throughout the site. Guests must not tamper with or misuse fire equipment. Misuse will result in the cost of reinstatement being charged to the lead booker.
12. Facilities Use
12.1 All on-site facilities (shower blocks, toilets, diswashing stations, laundry, and communal areas) are for the use of registered Guests only.
12.2 Guests are expected to leave facilities clean and tidy for the next user. Any damage or fault must be reported to reception immediately.
12.3 Only biodegradable, environmentally responsible cleaning products may be used in washrooms and dishwashing facilities.
12.4 Hazardous, flammable, or toxic substances must be disposed of via site drains, bins, chemical disposal points other that those specifically designated for their type.
12.5 Grey water must be disposed of only at the designated grey water disposal points. Disposal of grey water on pitches or on grass is prohibited.
12.6 Chemical toilet cassets must be emptied only at the designated chemical waster disposal (Elsan) point. No chemical waste may be poured into toilet or sink drains.
13. Waste & Environment
13.1 All waste must be sorted and deposited in the approprate colour-coded bins (general waste, recycling, and food waste).
13.2 No litter, food scraps, or waste water may be left or discarded on pitches, pathways, or grassland.
13.3 Exessive waste or the dumping of large quantities of rubbish not generated during your stay may result in an additional clearance charge.
13.4 Guests are encouraged to minimise signle-use plastics, conserve water, and respect the natural environment of the site and surrounding area.
13.5 Damage to trees, hedgerows, wildlife habitats, or any natural features of the site is strictly prohibited and may result in legal action.
14. Health & Safety
14.1 Guests must familiarise themselves with the site's emergency evactuation routes and locations of the nearest first aid kit, which is available at reception during staffed hours.
14.2 Any accident, injury, or near miss occurring on the site must be reported to reception as soon as practicable so that an entry can be made in the accident log.
14.3 Guests with known medical conditions, allergies, or access requirements are encouraged to notify the Club at the time of booking so that appropriate arrangements can be considered.
14.4 Swimming or paddling in the River Thames or any adjacent water feature is strictly at the Guest's own risk. The Club accepts no liability for water-related incidents.
14.5 The use of trampoline equipment, inflatable structures, or similar apparatus on pitches is prohibited unless supplied by the Club.
14.6 In the event of a public health emergency (including communicable disease outbreaks), Guests must comply with any reasonable instructions issued by the club or relevant authorities.
15. Liability & Insurance
15.1 Guests use the site and all facilities entirely at their own risk, save where loss or damage is caused by the proven negligence of the Club.
15.2 The Club accepts no liability for loss, theft, or damage to personal property, facilities, or pitches by themselves, members of their party, or their pets.
15.3 Guests are responsible for any damage caused to Club property, facilities, or pitches by themselves, members of their party, or their pets. The cost of repair or replacement will be charged to the lead booker.
15.4 The Club's liability to any Guest shall not exceed the total amount paid for the booking in question, except in cases of death or personal injury caused by the Club's negligence.
15.5 Guests are strongly advised to arrange comprehensive travel and cancellation isurance prior to their stay, covering loss, damage, injury, and cancellation.
16. Privacy & Data
16.1 Personal data collected during the booking process is processed in accordance with the Club's Privacy Policy, availavle on our website and at reception.
16.2 CCTV is in operation accross the site for the safety and security of Guests. Footage is retained in accordance with applicable data protection legislation.
16.3 By bookin, you consent to the Club contacting you by email regarding your booking, site updates, and, where opted in, future promotional offers.
16.4 Photographs or video recording taken on site for personal, non-commercial use are permitted, provided no other Guests are identifiable without their consent.
17. Complaints Procedure
17.1 Any complaints arising during your stay should be raised with the site manager immediately so that the Club has the opportunity to resolve the matter during your visit.
17.2 Formal complaints must be submitted in writing to lalehamcampingclub@gmail.com within 14 days of departure. The Club will acknowledge receipt within 5 wokring days and aim to provide a full response within 28 days.
Complaints that cannot be resolved by mutual agreement may be referred to an independent mediator, details of which can be obtained from reception.
18. Governing Law
18.1 These Terms & Conditions are governed by and construed in accordance with the laws of England and Wales.
18.2 Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
18.3 If any provision of these Terms is found to be invalid or unenforcable, the remaining provisions shall continue in full force and effect.
